The following are the components necessary to run a Taxonomy project as efficiently and effectively as possible:
1. Project manager from start with clearly defined finely granular project plan
2. Project charter that clear spells out client responsibilities in terms of availability of personnel, delays in schedules, etc – see subsequent document
3. Clear project management approach in which client fully understands uncertainties in design duration and the extent to which their actions will impact these uncertainties and therefore time and cost
4. At the start of the project agree who must be in the room for the various sessions and agree on measures that will be taken if a key person cannot be in the room – reschedule with standing time, go ahead but accept compromises that the missing person cannot subsequently change, etc
5. Refuse to start workshops where all designated personnel are not present or accept there will be unbudgeted rework or will be compromises
6. Accept that it will take longer to understand the approach than it first seems – the approach is complex and time consuming – need to create a document that people can read, possibly coupled to a formal introductory presentation
7. Accept that this is a new way of looking at information and looking at the business and therefore that there will be significant revisions during the process that will result in the process taking longer than expected
8. Must printout the work after cleaning up after sessions and engage with and review the outputs – if there has not been quality engagement with the working papers between sessions this will take time in sessions and slow down the process and increase costs
9. Workshops must take place at closely spaced intervals – at least one day every week else there will be time on refreshing on both sides – extra costs where there are delays of more than two weeks
10. Most sessions will be full 8 to 10 hour days without interruption unless shorter hours are agreed but then must understand that there is a start-up cost for every session – takes half an hour to an hour to get up to speed unless sessions take place more or less back to back
